Requirements

Responsibilities

• Calendar and time management: Own organizing Alexander's calendar by scheduling meetings with team members and external stakeholders, leading a calendar sync meeting with Alexander at the beginning of every week, and analyzing time allocation across key areas • Inbox and communications management: Help triage Alexander's inbox and learn to write effectively in his https://x.com/albrgr?lang=en voice https://coefficientgiving.org/research/our-progress-in-2024-and-plans-for-2025/, maintaining fast response times and building systems to track and route incoming asks • General executive support: Handle the full range of day-to-day administrative needs, including travel planning, expenses and reimbursements, external appointments, and executive office software (Airtable, Asana, Toggl) • Meeting and event coordination: Coordinate with internal stakeholders to gather materials and information ahead of Alexander's meetings; write meeting agenda first drafts; track and execute follow-up action items; ensure that conferences, events, and in-person visits go smoothly • Contact and relationship management: Maintain a comprehensive database of Alexander's professional contacts and proactively surface relevant meetings and events based on current priorities and travel • Operational improvement: Identify administrative bottlenecks and develop solutions, including AI integration; own special projects that increase efficiency and strengthen internal knowledge management

There would also be a 5% downward adjustment for candidates based in New York who are willing to work from our coworking hub at least one day per week. • Time zones and location: You can work remotely, though this role would need to align significantly with Pacific Time hours (5 hours/day). • We prefer hires to be based in the San Francisco Bay Area, and will support candidates with relocation costs.
