5+ years of experience in an executive or senior-level administrative support role.
Demonstrated experience managing complex calendars and coordinating travel arrangements.
Proficiency in Microsoft Office and Google Workspace (G Suite) tools.
Exceptional organizational skills with strong attention to detail.
Ability to prioritize multiple tasks and meet deadlines in a dynamic environment.
Strong written and verbal communication skills.
High level of integrity and ability to maintain confidentiality.
Self-motivated with the ability to work independently while collaborating effectively across teams.

Responsibilities
Provide administrative support to executive team members as needed.
Schedule meetings for executives with clients on short notice when requested by the Executive Director and/sales manager(s). This includes setting up travel arrangements if necessary (e.g., flights, hotels), confirming meeting times, providing agendas prior to client visits or calls, etc.
Manage executive calendars for daily appointments as well as weekly meetings and events with clients/partners on a recurring basis; this includes setting up reminders via email notifications (e.g., Google Calendar) 24 hours in advance of the meeting time to ensure executives are prepared, confirm attendance prior to each event or call by sending out calendar invites at least one day beforehand and follow-up with a phone call if no response is received within an hour after reminder email sent.
Handle all incoming calls from clients/partners during business hours (9am – 5pm EST), including but not limited to scheduling appointments, providing information about company policies or procedures when asked by the caller; this also includes taking messages for executives and forwarding them directly into their personal email accounts.

Handle all incoming emails from internal team members on a daily basis as needed (e.g., requests for assistance). This may include drafting, review & editing materials prior to sending out via Outlook or other approved communication channels; this also includes following up after each request by email within 24 hours if necessary and forward any relevant documents received during the course of business dealings directly into appropriate executive inboxes.
