Responsibilities

• Finance inbox management: Help manage our shared finance inbox, including processing invoices, troubleshooting finance-related questions from staff and contractors, and coordinating with other teams on collaborative projects. • Accounts payable: Support day-to-day management of our AP process, including collection of relevant information and paperwork to ensure a smooth experience for our vendors and internal stakeholders. • Expense review: Review staff expenses for accuracy, policy compliance, and alignment with IRS accountable plan rules. • Period-end close: Contribute to month-end and year-end close activities, including journal entries, reconciliations (bank, credit card, payroll, expenses), balance sheet analysis, and schedules for prepaid expenses and fixed assets. • Contractor onboarding: Onboard Coefficient Giving contractors, and continually look for ways to improve the contractor process. • Documentation: Maintain accurate records of finance processes, policies, and procedures to support efficient operations and continuity. • Finance operations special projects vary significantly in scope and subject, but may include: • Tools and systems implementation: Take a new finance tool from evaluation > purchase > implementation > documentation > steady-state. • International entity build-out and consolidation: Set up new international entities, coordinate with external accounting partners abroad, and contribute to our multi-entity consolidation process. • Internal controls and risks: Strengthen our internal control framework as the organization’s footprint grows across jurisdictions. • Audit and tax compliance: Collaborate with our external tax and audit partners to assist with preparing tax returns and annual audits as needed. • Payroll and benefits: Support payroll and benefits administration and associated systems work (e.g. payroll platform migration, integrations with our broader tech stack). • WHO MIGHT BE A GOOD FIT • You might be a great fit for this work if you are: • Extremely organized and detail-oriented; you rarely let things fall through the cracks • Comfortable managing a high volume of questions, emails, and tasks, and you’re good at balancing day-to-day responsiveness with carving out focused time for deeper or ad hoc projects • A transparent, professional, and empathetic written communicator who can break down complex finance and accounting concepts in an accessible way and tailor your message to the recipient • Dedicated to treating internal and external stakeholders as customers and making them feel supported after every interaction with you or your team • Always looking for systems, tools, and strategies to save time and effort — especially for repetitive processes. You take satisfaction in building solutions that work smoothly behind the scenes, even if most people never notice them • Proficient in Google Sheets, including the ability to use advanced functions and efficiently analyze financial data • Interested in learning the ins and outs of finance operations at a growing, mission-driven organization • We’re open to finance operations associate candidates with a range of backgrounds, likely 3-4 years of finance or accounting experience , or comparable experience in operations or project management at a startup, tech, or management consulting company. We’re aiming to hire 3-5 finance operations associates. • To be considered at the finance operations lead level, we expect strong candidates to additionally have experience with a majority of the following: • 5-7 years of experience in finance or accounting, with meaningful ownership of period-end close, audits, or similar core finance workstreams • A strong grounding in a risk-based approach to finance — including the ability to clearly communicate reasoning on decisions that balance risk mitigation with operational efficiency • Experience preparing or reviewing Form 990s and project managing external audits • Comfort with payroll and benefits administration • Experience coaching and developing team members who work with a high level of independence • While not required, we’d be excited to see candidates at either level who have experience with any of the following: • A CPA (or equivalent credential) • Multi-entity accounting or consolidation, including international entities • Implementation or migration of finance and accounting systems (e.g. ERP, payroll, expense management, AP) • Experience working for or with a complex philanthropic organization (e.g. another large grantmaker) • Familiarity with the IRS accountable plan rules and U.S. nonprofit tax compliance more broadly • Familiarity with the U.S. banking system and/or experience working in treasury operations, including maintenance of the accompanying internal control framework

Benefits

• For the Finance Operations Associate level, total compensation would be $130,525, distributed as a base salary of $113,500 and an unconditional 401(k) grant of $17,025 for U.S. hires. • For the finance operations lead level, total compensation would be $155,825, comprising a base salary of $135,500 and an unconditional 401(k) grant of $20,325 for U.S. hires. • These compensation figures assume a remote location; there would be geographic adjustments upwards for candidates who are based in the San Francisco Bay Area or Washington, D.C., and are willing to work from our local office approximately two days per week or more. • All compensation will be distributed as take-home salary for internationally based hires. • Time zones and location: You can work remotely in this role. While much of our team is based in the US, we are open to hires outside the US willing to consistently overlap with US hours for at least three hours of a 9am-6pm PT workday.
